Don’t ignore it: Microsoft’s four steps from warning to lockout
Microsoft now enforces its Dataverse storage limits in four steps. Here is what happens when you go over:
The warnings start. Once you are near or over the limit, your admins get them every week, with no way to switch them off.
You cannot create, copy, restore or recover environments. That includes restoring an environment from a backup if something goes wrong!
Your sandbox environments lock to administrators only.
Nobody can sign in to those sandboxes, admins included.
Your production apps keep running, but anything that needs a restore, a copy or a test environment is blocked.

Three kinds of Dataverse storage, three different bills
Dataverse storage splits three ways: database, file and log. Which one is over decides the fix and the cost.
Database
Your records: accounts, contacts, opportunities and the rest.
The most expensive storage option. Every extra GB you buy can cost up to $500 a year.
File
Your documents and attachments.
The more emails you track into Dataverse, the larger this one grows.
Log
Where your audit history and system jobs go.
It can fill up surprisingly quickly if you have user access auditing turned on.
Two solutions to Dataverse storage problems
Buy more storage.
It works, but every extra GB of database storage can cost up to $500 a year, and you keep paying it every year.
Clean up what you don’t need.
We show you exactly which tables, attachments, logs and old environments are using your space, then delete or archive what you don’t need, safely.
The enCloud9 Dataverse Storage Analysis tells you exactly which one you need, or how much of each.

Questions we hear
What happens when we go over our Dataverse storage limit?
From the day you go over, you cannot create, copy, restore or recover environments. After 30 days, your sandbox environments lock to administrators only. After 90 days, nobody can sign in to those sandboxes, admins included.
What messages will we see from Microsoft?
Warning emails, and a banner in the Power Platform admin center, the Power Apps and Power Automate maker portals and your Dynamics 365 apps. The first comes when database, file or log storage has less than 15% left, the next under 5%, and the last when you go over. Admins and makers get the emails every week.
Will Dynamics 365 CRM stop working?
No. Your production apps keep running. But anything that needs a restore, a copy or a test environment is blocked.
Can we turn off Microsoft’s storage warning emails or notifications?
No. Once you are near or over the limit, your admins get the emails every week and see the warning banners, with no way to switch them off.
Which storage type is my warning about?
Dataverse has three: database, file and log. The fix and the cost depend on which one is over. You can see the split in the Power Platform admin center under Licensing, then Dataverse. The free analysis checks it for you.
How much does extra Dataverse storage cost?
Every extra GB of database storage can cost up to $500 a year. File storage costs much less, which is why knowing which one is over matters.
Should we buy more storage or clean up our data?
It depends on which storage is over and what is using it. Every extra GB of database storage can cost up to $500 a year, so cleaning up often pays for itself. The analysis tells you which you need, or how much of each.
What takes up the most Dataverse storage?
Old emails and their attachments, notes and attachments, audit history, logs, and environments nobody uses anymore. The analysis shows the tables using the most space and the ones growing fastest.
